Instructions for Booking:
THSCA has negotiated discounted hotel rates for THSCA 2020 attendees. You must make your hotel reservation through Orchid Events. Hotel reservations are taken on a first-come, first-served, space available basis. Submit your request as soon as possible for the best opportunity of receiving your hotel choice.
All reservations must be received by July 1, 2020, to guarantee availability and conference rates.* After this date, reservations will be made based on availability and hotels may charge higher rates. * A few THSCA hotels have earlier reservation deadline dates starting as early as June 26, 2020. These hotels may not have the conference rates available after this date. *

All reservation requests must be accompanied by a credit card guarantee or check equaling the amount of one night’s room and tax for each room reserved. Your credit card WILL NOT BE CHARGED during this initial stage and will be held as a GUARANTEE only.
Hotels may charge a one night’s room and tax deposit for each room reservation on or after July 10, 2020.
Orchid Events will send reservation acknowledgements within 24 hours via email if booked online or by telephone; fax and mail acknowledgements will be sent within 72 hours of receipt. If you do not receive your acknowledgement in this time frame, contact Orchid Events. You will not receive a written confirmation from the hotel.
Cancellations & Changes
Cancellations may be made up to 72 hours prior to arrival date with no cancellation charge. If it is within 72 hours of arrival, cancellation fees will apply. Through July 10, 2020 changes and cancellations can be made online or by contacting Orchid Events via e-mail at email@example.com. After July 10, 2020, cancellations must be directed to your assigned hotel at least 72 hours prior to arrival or a one night’s room and tax charge will be assessed by the hotel.
Please note the following fee is not included in room rates: 1.25% Tourism Public Improvement District (PID) Fee. Room rates and PID fees are subject to 16.75% Hotel Tax per Night. (Subject to change) Grand Hyatt and Hyatt Regency have additional state cost recovery fees that will be added to the rate. *Additional fees may apply for 3rd or 4th person in room: If a rollaway bed is required.*
